Privacy policy

Last updated: 27 October 2026

This policy explains how TS Mentoring collects and uses personal information when you visit tsmentoring.co.uk, book a discovery call, or work with me as a mentoring client.

Who I am

TS Mentoring is the trading name of Thomas Schreiber, a sole trader based in the UK. I am the data controller for the personal information described here.

  • Email: info@tsmentoring.co.uk

  • Address: TS Mentoring, 5 Brayford Square, London E1 0SG

  • ICO registration number: ZC284198

  • VAT number: GB452312035

What I collect and why

Website visitors

  • What I collect: pages viewed, approximate location (city or country), device and browser type, referring site, collected by Squarespace Analytics

  • Why I use it: to see how the site is used and improve it

  • Lawful basis: legitimate interests

People who book a discovery call

  • What I collect: name, email address, and anything you choose to write in the booking form, such as your company, role or what you want to discuss

  • Why I use it: to arrange and prepare for the call

  • Lawful basis: steps before a contract, and legitimate interests

People who email me

  • What I collect: your name, email address and what you write

  • Why I use it: to reply and keep a record of our conversation

  • Lawful basis: legitimate interests

Mentoring clients

  • What I collect: contact details; session notes; recordings and transcripts of sessions; information you share about your goals, role and organisation; invoicing details for the paying company

  • Why I use it: to deliver the mentoring, track agreed actions, and bill for the work

  • Lawful basis: contract, and legal obligation for financial records

People who give a testimonial

  • What I collect: your quote, name, job title, company and, where agreed, your photo

  • Why I use it: to show your testimonial on this site

  • Lawful basis: consent

Most of what I hold relates to people acting in a professional capacity. I don't ask for sensitive information, such as health details. If you choose to share some during mentoring, I treat it as confidential, use it only to support you, and keep it no longer than the rest of your session notes.

Session recordings and supervision

Sessions are recorded to help track actions and to support my professional development as a mentor. I may discuss anonymised aspects of our work with a professional mentor supervisor. I will only share recordings, transcripts or anything that could identify you or your company with a supervisor if you give your explicit consent first. I have switched off Otter's option to use recordings for AI training or human review. I also use Gemini within my business Google Workspace account to help summarise and analyse session notes and transcripts. Under Google's Workspace terms, this content is not used to train Google's AI models outside my account or reviewed by people for that purpose.

Cookies

This site uses a small number of cookies set by Squarespace. Some are needed for the site to work, such as security and load balancing. Others are used by Squarespace Analytics to count visits and see which pages are read. These analytics cookies are used only for statistics and are not used for advertising or to track you across other websites.

You can block or delete cookies through your browser settings. The site will still work if you do.

The "Book a discovery call" button takes you to Calendly's website, where Calendly's own cookie policy applies.

Who I share it with

I don't sell your information or share it for marketing. I use these service providers to run the practice, and they handle data only on my instructions:

  • Squarespace: hosts this website and provides site analytics. Data held in the USA and Ireland.

  • Calendly: runs the discovery call booking. Data held in the USA.

  • Google Workspace: email (Gmail), calendar and scheduling (Google Calendar), video calls (Google Meet), storage of session notes and transcripts (Google Drive), and Gemini, Google's AI assistant, which I use to summarise and analyse them. Data held in the USA, UK and EU.

  • Otter.ai: records and transcribes mentoring sessions. Data held in the USA.

  • HubSpot: keeps contact details and a record of conversations with prospects and clients. Data held in the USA.

  • QuickBooks (Intuit): invoicing and bookkeeping. Data held in the USA.

I may also share information with HMRC or my professional indemnity insurer where needed, or where the law requires it.

International transfers

Some of these providers store data in the USA. Where they do, the transfer is protected by the UK Extension to the EU-US Data Privacy Framework or by the UK's approved contract clauses.

How long I keep it

  • Website analytics: as set by Squarespace; I see only totals, not individual visitors.

  • Discovery call bookings and emails, if we don't go on to work together: kept in my email and calendar as a normal record of our correspondence, in case we pick up the conversation later; deleted whenever you ask.

  • Session recordings, transcripts, summaries and notes: deleted 1 year after our mentoring agreement ends, or sooner whenever you ask.

  • Invoices and financial records: 6 years after the end of the tax year, as HMRC requires.

  • Testimonials: until you withdraw consent, or the site is retired.

You can ask me at any time, during or after our work together, to delete your session notes, recordings and transcripts, and I will do so promptly. The only exception is information the law requires me to keep, such as invoices, which HMRC requires me to hold for 6 years.

Your rights

You have the right to:

  • ask for a copy of the personal information I hold about you

  • ask me to correct anything that's wrong

  • ask me to delete your information

  • object to my using it, or ask me to restrict how I use it

  • ask for your information in a portable format

  • withdraw consent at any time where I rely on it, for example to remove your testimonial

To use any of these rights, email info@tsmentoring.co.uk. I will reply within one month. There is no charge.

Complaints

If you're unhappy with how I've handled your information, please email me first and I'll acknowledge your complaint within 30 days. If you're still not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

I will update this policy when the way I handle information changes. The date at the top shows when it was last revised.
